Attendance policies

How policies decide attendance, weekly offs, holidays, fines, overtime and leave — and how to apply them to the right staff without breaking past payroll.

Who can do this Owner or admins who manage policies

Policies are the rules pagar karo uses to work out each day and each month. Go to Administration → Policies.

Who gets which policy

Every family has a business default — the first one you create. Then, from the most specific to the least:

  1. Assigned — you picked the person in Assign staff, or from the staff list's bulk action.
  2. By rule — the policy's rules match the person, for example location is Chakan Unit and department is Production.
  3. Business default — everyone else.

The staff form shows which one applies to each person and why (assigned, by rule, or business default).

Fines and overtime

The Automation policy turns each day's times into fines and overtime. For each rule you set time bands, each with its own pricing:

  • Late entry — for example after 15 minutes late, a fixed ₹50. After 45 minutes, one times the hourly rate for the minutes late.
  • Half day / full day — after 2 hours late the day becomes a half day; after 4 hours, a full day's deduction.
  • Early exit — leaving more than 15 minutes before the shift ends.
  • Overtime — after 30 minutes past the shift end, paid at 1.5 times the hourly rate.
  • Pardons — the first few late marks each month cost nothing.

Each band is either a fixed amount or a salary multiplier. Bands must start later than the one before. Whatever the rules work out goes to review before payroll.

Editing a policy safely

When you change a policy, pagar karo saves a new version from a date you choose (Changes apply from). Past days keep the version they were worked out with, so payroll you've already run never changes behind your back.

Statutory rates

PF, ESI, Professional Tax and LWF rates come from rate tables that we keep up to date — see Settings → Statutory rates. Rates marked VERIFY should be checked with your accountant before you lock payroll.
